1. Who we are

PERSONA EVENT AND MARKETING SOLUTIONS FZ LLE ("Persona", "we", "us") is a corporate event agency operating between Istanbul and Dubai. We are the data controller for the personal data described in this Policy.

2. What data we collect

When you submit the sourcing form on our website, we collect the information you provide:

• Contact details: name, company, email, WhatsApp/phone number, country
• Request details: dates, number of guests, number of rooms, preferred area, meeting package, catering and alcohol requirements, budget, exhibition and stand details, and any free-text notes you add
• Consent record: the version of this Policy you accepted, the time of your consent, and your IP address and browser user agent
• Technical data: IP address, browser and device information, pages visited

3. Why we use it

We process your data only to:

• Handle and respond to your request
• Run the sourcing process — sending your requirements to hotels and venues and comparing their offers
• Communicate with you about your request and any resulting booking or event
• Meet our legal and regulatory obligations

4. Legal basis for processing

Under PDPL Articles 5 and 6, we rely on your consent, which you give by ticking the consent box on the form. You may withdraw it at any time (see Section 8).

Where we are performing an agreed service for you, we also rely on contractual necessity, and on our legitimate interest in operating and improving our services.

5. Who we share it with

Hotels and venue partners: to source your event we pass your request details to the hotels and venues we approach on your behalf. This is the core purpose of the service and cannot be separated from it.

Service providers, all bound by data processing agreements:

• Email delivery: Mailgun (EU region)
• Database hosting: MongoDB Atlas
• Cloud infrastructure: Google Cloud Platform
• We may disclose data if required by law, court order or a governmental authority
• We do not sell your personal data

6. International transfers

Your data may be transferred outside the UAE — our infrastructure providers operate in the EU. We comply with the cross-border transfer rules in Articles 22 and 23 of Federal Decree-Law No. 45 of 2021, relying on adequacy, your explicit consent, or Standard Contractual Clauses in our agreements with providers.

7. How long we keep it

We retain request data for 3 years from collection, unless a longer period is required for legal or contractual reasons. After that it is securely deleted or anonymised. You can ask for earlier deletion at info@personaevent.com.

8. Your rights

Under PDPL (Articles 13–17) you have the right to:

• Access the personal data we hold about you
• Have inaccurate data corrected
• Have your data erased
• Restrict or object to processing
• Receive your data in a portable format
• Withdraw your consent at any time
• Lodge a complaint with the UAE Data Office

9. How to exercise them

Write to info@personaevent.com. We respond within 30 days as required by PDPL. We may ask for information to verify your identity before acting on a request. Withdrawing consent does not affect processing carried out before the withdrawal.

10. Security

We protect your data with TLS/HTTPS encryption in transit, encrypted database storage, access controls, and need-to-know staff access. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

In the event of a personal data breach we will notify the UAE Data Office, and affected individuals where required, within the timelines set by Federal Decree-Law No. 45 of 2021.

11. Cookies

We use only the cookies needed for the website to function. We do not use advertising cookies. You can manage cookies through your browser settings.

12. Children

Our services are intended for business users aged 18 and over. We do not knowingly collect personal data from minors.

13. Changes to this Policy

We may update this Policy. The version number and effective date above indicate the current revision, and every request we receive is stored against the version that was in force when it was submitted. Material changes will be announced on the website.
